Class emails that send, clearer add-on changes, and safer checkout

New
  • Class confirmations, reminders, follow-ups and instructor sign-up alerts now send. Switch each one off for your whole makerspace under Events & Classes, Communications, or for a single class in its Notifications tab.
  • When you cancel a session or a whole class, registered members get a "Your class was cancelled" email that explains what happens to their payment, and the instructor is told too. The cancel dialogs say who will be emailed.
  • Makerspaces on a plan MakerVera set up for them can now buy add-ons on their own from Plan & Billing, paying only for the add-on, with a free trial the first time.
Improved
  • Changing plans now lists any add-ons the new plan doesn't include, and when each one ends, before you confirm.
  • Checkout buttons stay busy from the first click until the payment page opens. Starting the same checkout again picks up where you left off, and a payment that already went through takes you straight to its confirmation instead of charging you twice.
  • The class page now shows sessions and attendance in a main column with its settings alongside, and the instructor's pay and paid status sit in the Instructor card.
  • Members no longer see a waiver alert or an empty Waivers card.
  • Tax settings now explain that no tax is collected until your registration is marked Registered.
Fixed
  • Members who cover processing fees now also cover them on their add-ons after a plan change or after turning that option on.
  • Store order confirmation emails send again, with the total shown in the order's currency.
  • Members who use Spanish or French now get account emails, including password reset and code resend emails, in their language.
  • Door access stays on while another of a member's grants still covers that door, and an expired grant no longer keeps a door open.
  • A session opened from the Calendar keeps following its class's instructor after you save it, and two people updating attendance at the moment a session is completed no longer leave it changed on a finished class.
  • The cart count and a few buttons are now readable in both light and dark mode.

Add-ons on your own terms, clearer plan changes, and a membership utilization report

New
  • Members can add an add-on from My membership at any time, remove one at the end of its billing period, and undo a removal until then. Every change first shows what is charged today and the new monthly or yearly total, or that nothing is charged.
  • When a reservation needs an add-on the member doesn't have, the message links straight to adding it. Reservations that only a removed add-on covered are cancelled when it ends, with one email listing them.
  • A new Membership Utilization report under Reports shows, for each plan with a visit limit, its members, average and median visits, and how often members reach the limit, plus the current period so far and how passes were used. Filter it by plan and date, and export it as a spreadsheet. Available on the Foundational and Professional plans.
Improved
  • Changing plans now opens a dialog that compares plans side by side and shows exactly what the change charges now and what you'll pay from when, before you confirm. With a downgrade scheduled, My membership says when your plan changes and lets you keep your current plan.
  • Payment confirmation pages now show the result your makerspace actually recorded: a payment that was refunded, failed, expired or is still clearing is shown as such, never as a success.
  • Hosted checkout, donations and the billing portal now appear in the member's chosen language.
  • The Payments page in admin settings shows your payment connection on a new card, offers to continue setup after an expired link, and shows when the payment provider has removed access.
  • Session pages are easier to read and edit: the schedule and roster sit side by side with settings, dates and times are set in one row, and the header shows which session of the class it is, the location, the instructor and how many are registered.
  • Confirmations for a single session name the substitute instructor when one is set.
Fixed
  • When a gift card covers part of an order and the buyer covers the processing fees, the card is now charged exactly the total shown.
  • Closing the gift card and card payment window frees the gift card right away, so its full balance is available on the next try.
  • Two orders placed at the same moment in one makerspace no longer collide on the same order number.
  • Registering for a class that isn't open now shows a clear, translated message, and sessions of a cancelled class can no longer be signed up for.

One-time passes, visits left at a glance, and safer class cancellations

New
  • Sell one-time passes. Set up a pass with a one-time price, how many days it lasts and how many visits, bookings or hours it includes. Visitors can buy a pass without a membership, admins can give one from a member's profile, and a pass ends on its own when it is used up or expires, with emails to the holder.
  • Members see how many visits they have used and have left, and when they reset, on My membership. The visit count turns amber when they are running low and red at the limit, and pass holders see their pass, its visits left and its last valid day.
  • Members get one email when they are running low on visits, once per period or pass, in English, Spanish and French. Members who turned off membership emails don't get it.
Improved
  • Cancelling a cohort now cancels its upcoming sessions too. The confirmation says how many sessions will be cancelled and what happens to instructor payouts, and registrants still get a single cancellation email.
  • Completed and cancelled classes can no longer be changed by accident. If a class was completed or cancelled in another tab, saving it or checking someone in shows a message and the page switches to read-only.
  • Purchases paid by bank debit, such as ACH Direct Debit, are completed once the payment clears. Anything held for the buyer, like a gift card amount, stays held while it clears, and if the payment fails nothing is delivered and the buyer gets an email.
  • Checkout explains when an earlier membership or pass payment is still being confirmed, and asks you to try again in a moment when someone else is buying the same item at that moment.
  • The tax card on the Payments page shows a single button to manage your tax jurisdictions.

Membership add-ons on one bill, and every charge confirmed first

New
  • Add-ons have their own page under Memberships. Create, edit, archive and restore add-ons, each with its price, monthly or yearly billing, taxability, optional stock or capacity, the plans it is offered on, and the places it covers: none (for example a locker), the whole space, or chosen workspaces and equipment, with optional booking and booked-hour limits.
  • Members pick add-ons when they join, and the plan and every add-on are billed together on one bill. Each add-on says what it gives and what it costs, and the checkout total, covered fees and estimated tax include the add-ons.
  • Members can add or remove a paid add-on after joining. Adding one is charged on their membership bill, prorated, and removing one stops the charge and credits the unused days.
Improved
  • Every change that affects what you pay now asks you to confirm first and shows the exact amount: changing your MakerVera plan, adding a MakerVera add-on, a member adding or removing an add-on, turning "Cover processing fees" on or off, and paying a whole order with a gift card.
  • Changing your MakerVera plan or adding an add-on now updates your one existing subscription, prorated, so you are never billed twice.
  • When your MakerVera subscription needs attention, the Plan page now says why: the payment failed, it is still processing, or the subscription is paused.
  • "Your access" now separates the places a member can use right away from the ones waiting on an authorization.
  • Class series, cohort and session pages show their status in the page header, with Publish and Save draft for drafts, and cancelling or archiving asks you to confirm first.
  • Primary buttons and selected calendar days are easier to read in light and dark mode.
  • The Payments page tax card now points to the tax rates you set for your own jurisdictions.
  • More of the app is translated for Spanish and French users, including screen-reader labels, calendar controls, event editor errors and time zone names.
  • The holiday form shows its character limits as you type.
Fixed
  • Approval, rejection, registration, attendance, authorization, refund and low-inventory emails that were not being sent now send.
  • Re-selecting a filter, tab or template that is already active no longer adds an extra step to your browser's Back button.
  • Re-applying the current filters in the events directory no longer jumps back to the first page.

Visit limits, plans that cover chosen places, and unsubscribe links that work

New
  • Set a visit limit on a membership plan, with a weekly or monthly reset. Members see the limit on plan cards and at checkout, and get an email when they've used all their visits, saying when their allowance resets.
  • Choose whether a membership plan covers the whole space or only the workspaces and equipment you pick. Plan cards and checkout show which places each plan covers.
  • Members have a new "Your access" section on their membership page listing every place they can use and the authorizations they still need, and staff can see the same on a member's profile.
  • Archiving a workspace now shows which plans cover it and how many members they have, and won't leave a plan with no places.
Improved
  • Mail apps such as Gmail now show their own Unsubscribe button on optional emails, and pressing it turns off that type of email straight away.
  • Members can turn off membership expiry and cancellation emails, and store admins can turn Store Alerts emails on and off, in Profile settings.
Fixed
  • The Unsubscribe link in optional emails now works: it opens a page that turns off just that type of email once you confirm, and you can turn it back on in Profile settings.
  • A guest who buys a membership, or is given one by staff, now becomes a Member straight away, with Member permissions.
  • The Users page, header badge and member profiles now always show the same role.
  • Being asked to slow down after too many attempts no longer shows the full-screen "service unavailable" message.

More accurate billing records and payment statuses

Improved
  • Membership and donation renewals now show the real tax, subtotal and net from each invoice, so your revenue reports match what members were charged.
  • Members see "Payment past due" on a product subscription whose latest payment failed, with a note that the payment is retried automatically, and can still cancel it. Admins see "Past due" on add-on purchases and can filter by it.
  • Event tickets and store orders paid entirely by gift card now show as event tickets and store purchases in Transactions, the export and revenue by type, and orders paid by gift card carry a "Gift card" badge.
Fixed
  • Renewals, failed payments and cancellations of product subscriptions made at the payment provider are now recorded in MakerVera.
  • Taxable checkouts keep working after a makerspace reconnects a different payment account.
  • A paid membership no longer turns past due, and the member no longer gets a payment-failed email, when a notice about an earlier failed attempt arrives late.

QR self check-in, front-desk check-in, and refunds you can trust

New
  • Members can check themselves in by scanning your makerspace's QR poster. Admins print the poster from Memberships, and members see how many visits they have left.
  • Staff can check a member in from the member's profile, with an Undo for the same day.
  • Admins pick a reason when issuing a refund and can add a note.
Improved
  • Changing membership plans bills correctly: an upgrade takes effect right away with a prorated charge, and a move to a cheaper plan takes effect at the end of the current billing period.
  • Membership tiers are now called plans across admin and member screens, emails and exports.
  • The refund dialog shows the order total and how it splits between card and gift card, and the transactions list shows refunds that are still processing or failed, with a way to try an unfinished refund again.
  • Orders and event registrations paid with a gift card are refunded back to the gift card, and a replacement gift card is issued when the original is no longer active.
  • Billing admins are emailed when a refund fails or is cancelled.
  • The email templates screen is translated into Spanish and French, and membership plan cards work with the keyboard.
Fixed
  • Refunds return exactly the amount asked for, including orders paid partly by gift card and partly by card, and a refund can never be issued twice.
  • Refunds and disputes made in the Stripe dashboard are recorded once in MakerVera.
  • A buyer who pays for something that sold out before their order completed is refunded automatically.
  • A gift card balance is held while a checkout that uses it is in progress, so it can't be spent twice.
  • Paid annual memberships load correctly again.
  • Members' email preferences are respected for every email sent from built-in templates.
  • Messages with no translation in a member's language arrive in English instead of not being sent.
  • The Plan & Billing page no longer shows billing controls that don't apply to plans MakerVera assigned.
